The other week I gave you my rules for better meetings.<\/p>\n

We have a course,\u00a0Management Rhythms Blueprint,<\/a>\u00a0if you want to do an extremely deep dive into meetings. Ask Lynda for access if you can\u2019t open the videos.<\/p>\n

It\u2019s probably the most important training you can watch if your business is doing over $1 million and you have a team of 6 or more.<\/strong><\/p>\n

I also have several friends that are \u201cmeeting gurus\u201d and they had tips to share:<\/p>\n

From Anne Laguzza<\/a>:<\/strong><\/p>\n

If the leader of the meeting has contributors\u2026<\/p>\n

They must assign them an appropriate amount of time for their topic in the meeting\u2026 and should work with the contributor to go through the presentation beforehand.<\/p>\n

Too many leaders \u201cassign 5 minutes\u201d to a 15-minute conversation and then they rush through it and it\u2019s ineffective. Better preparation and specifics are needed here.<\/p>\n

The other tip I always share is, \u201cDoes everyone who is in the room need to be there<\/u><\/strong>?\u201d<\/p>\n

So many leaders include too many people and that is a time waster for them!<\/p>\n

In addition to keeping things short, these four points will help almost all meetings:<\/p>\n

1. Have a clear purpose\/outcome for each meeting.<\/p>\n

\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0Each meeting should have one clear outcome. Build the agenda around that. Accomplish that before moving on to anything else.<\/p>\n

\u00b7\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0\u00a0For standing meetings \u2013 sometimes it helps to create a list of priority items to tackle over a period (month, quarter, year). Assign one item to each meeting.<\/p>\n

2.\u00a0\u00a0\u00a0\u00a0\u00a0Always capture action items (what will be done, by who, by when).<\/p>\n

3.\u00a0\u00a0\u00a0\u00a0\u00a0Always review previous meeting\u2019s action items \u2013 hold people to account.<\/p>\n

4.\u00a0\u00a0\u00a0\u00a0\u00a0Meeting time should be reserved for\u00a0decision making\/problem solving.<\/p>\n

If you do a good job identifying action items\/reviewing those (or using similar metric-based reporting) it can shrink reporting time to no more than a few minutes.<\/p>\n

From Elon Musk (his rules for Tesla)<\/strong><\/p>\n

1. No big meetings<\/strong><\/p>\n

\u201cExcessive meetings are the blight of big companies and almost always get worse over time. Please get out of all large meetings, unless you\u2019re certain they are providing value to the whole audience, in which case keep them very short.\u201d<\/p>\n

2. Reduce your meetings<\/strong><\/p>\n

\u201cGet rid of frequent meetings, unless you are dealing with an extremely urgent matter. Meeting frequency should drop rapidly once the urgent matter is resolved.\u201d<\/p>\n

3. Leave a meeting if you\u2019re not contributing<\/strong><\/p>\n

\u201cWalk out of a meeting or drop off a call as soon as it is obvious you aren\u2019t adding value. It is not rude to leave, it is rude to make someone stay and waste their time.\u201d<\/p>\n
